Clerk/Cashier Receptionist
(Visitor Centre)
Reporting to the Chief Financial Officer, the Clerk/Cashier Receptionist provides professional front-line reception, customer service, cashiering, tourism information, and administrative support at the Visitor Centre and Museum. The position serves as an important point of contact for residents, visitors, businesses, community organizations, municipal staff, and other stakeholders.
The Clerk/Cashier Receptionist is responsible for providing accurate and welcoming information about Vanderhoof and the surrounding region; promoting local tourism products, attractions, accommodations, services, and events; processing payments and maintaining cash and point-of-sale records; supporting museum and Visitor Centre operations; and performing a variety of clerical, financial, communications, inventory, records-management, and administrative functions.
DUTIES
Visitor Centre, Museum & Customer Service
- Provide professional, welcoming, and knowledgeable front-line service at the Visitor Centre and Museum.
- Greet and assist visitors, residents, community members, businesses, and other members of the public in person, by telephone, and by email.
- Respond to inquiries regarding Vanderhoof, its history, attractions, recreation opportunities, accommodations, businesses, events, services, transportation, and surrounding areas.
- Provide accurate and current tourism, community, and municipal information and refer inquiries to the appropriate department, organization, business, or staff member when required.
- Promote local tourism products, attractions, events, businesses, accommodations, recreational opportunities, and cultural experiences.
- Distribute tourism and promotional materials and encourage visitors to explore and experience Vanderhoof and the surrounding region.
- Maintain a welcoming, organized, accessible, and professional public reception area.
- Provide assistance with tours, visitor bookings, reservations, and related inquiries.
- Book and coordinate tours and assist with tour logistics as required.
- Assist with Visitor Centre, Museum, tourism, and District events and activities.
- Perform light cleaning and general upkeep associated with Visitor Centre displays, exhibits, artifacts, public areas, and workspaces.
- Handle difficult, sensitive, or dissatisfied customer situations with tact, diplomacy, and professionalism, referring matters to the appropriate supervisor when necessary.
- Protect confidential, personal, financial, and municipal information in accordance with applicable policies, legislation, and procedures.
Cashiering, Payments & Financial Administration
- Provide front-line cashier services, including receiving, processing, recording, and posting payments.
- Operate and maintain the point-of-sale system (POS) and ensure transactions are accurately recorded.
- Maintain accurate records of cash, debit, credit, and other payment transactions.
- Balance daily cash and point-of-sale transactions and investigate and report discrepancies.
- Administer and reconcile the Petty Cash fund in accordance with municipal policies and procedures.
- Prepare, process, and reconcile bank deposits and ensure deposits are completed within established deadlines.
- Reconcile POS sales, inventory, and financial records.
- Prepare financial and statistical information and reports as required.
- Follow established municipal policies and procedures relating to cash handling, financial controls, purchasing, deposits, and records retention.
- Maintain appropriate security and control over cash, receipts, merchandise, and financial documentation.
Merchandise & Inventory
- Assess merchandise needs and make recommendations regarding products, quantities, pricing, and displays.
- Order, receive, price, organize, and display merchandise for sale.
- Maintain accurate merchandise and supply inventories using POS and other applicable systems.
- Monitor inventory levels and identify items requiring replenishment.
- Reconcile POS inventory and investigate discrepancies.
- Maintain consignment records and agreements, including reviewing contracts and identifying required date, rate, or other changes for supervisor approval.
- Liaise with vendors, suppliers, and consignment partners as required.
- Order and maintain office, Visitor Centre, Museum, and operational supplies.
Administrative & Clerical Support
- Receive, screen, and respond to in-person, telephone, email, and written inquiries and direct matters to the appropriate staff member or department.
- Perform general clerical and administrative duties using Microsoft Office and other municipal software systems.
- Process and maintain time-entry records for department staff, ensuring accuracy and timely submission.
- Prepare correspondence, letters, reports, forms, statistics, spreadsheets, presentations, and other documents as required.
- Prepare, submit, and reconcile departmental reports and statistical information.
- Assist with researching, preparing, submitting, monitoring, and reporting on grant applications.
- Assist with updating tourism information packages, guides, directories, promotional materials, and marketing initiatives.
- Prepare announcements, notices, and other content for the municipal website and approved social media platforms.
- Review tourism and recreation website directories for broken links, outdated information, or inaccurate content and report or correct information as appropriate.
- Maintain accurate and organized departmental files, records, databases, and electronic documents in accordance with municipal policies and records-management requirements.
- Update and maintain departmental procedure manuals, reference materials, and operational documentation.
- Assist with the preparation, organization, and maintenance of tourism and Visitor Centre information resources.
- Receive, sort, distribute, and process internal and external mail and courier items.
- Maintain office equipment and supplies, including replenishing paper and other consumables and arranging service or repairs when required.
- Assist with scheduling, coordination, and administrative arrangements for meetings, events, programs, and other departmental activities.
Communications & Interdepartmental Support
- Liaise with municipal departments, staff, community organizations, tourism operators, businesses, vendors, contractors, and other stakeholders as required.
- Provide timely and accurate information to municipal staff and the public within the scope of the position.
- Assist other municipal departments with administrative, reception, customer-service, or event-related functions when required.
- Provide coverage for other office and reception positions as required.
- Assist with the orientation and training of seasonal staff, summer students, and other temporary employees as assigned.
- Maintain positive and effective working relationships with elected officials, municipal staff, community partners, businesses, volunteers, and members of the public.
- Represent the District in a professional, courteous, and positive manner at all times.
Museum & Exhibit Support
- Assist with the day-to-day operation of the Museum and related visitor services.
- Assist with maintaining exhibits, displays, interpretive materials, and public areas in an orderly and presentable condition.
- Perform light cleaning and handling of exhibits and artifacts within established procedures.
- Report concerns regarding exhibits, artifacts, facilities, or public safety to the appropriate supervisor.
- Assist with Museum programming, events, tours, displays, and visitor engagement activities as required.
General Responsibilities

QUALIFICATIONS
- Completion of grade 12.
- A minimum of two years of directly related clerical, administrative, customer-service, cashiering, tourism, or municipal experience; or an equivalent combination of education, training, and experience.
- Previous experience working in a tourism, visitor centre, museum, hospitality, or public-facing environment is preferred.
- Previous experience working in a municipal government environment is preferred.
- Experience with cash handling, payment processing, reconciliations, inventory control, and point-of-sale systems is preferred.
- Experience preparing reports, statistics, correspondence, and/or grant applications is an asset.
- Experience with POS or similar point-of-sale and inventory systems is an asset.
- A valid Class 5 British Columbia driver's licence.
- A satisfactory driver's abstract.
- Successful completion of a Police Information Check, including Vulnerable Sector Check.
- Must be able to work a flexible schedule, including weekends, evenings, statutory holidays, and other non-standard hours as required by the operation of the Visitor Centre and Museum.
This is a 35 hour per week unionized position, at a rate of $34.28 per hour.
