Project Coordinator
Vanderhoof is a friendly and welcoming rural community located in the geographical center of British Columbia and is at the “Heart of it All” when it comes to lifestyle, and employment opportunities. Vanderhoof is situated along Highway 16 (Yellowhead Highway), and located an hour west of Prince George, BC.
Reporting to the Director of Public Works & Engineering, the Project Coordinator plays a key role in providing technical, contractual, planning, and financial oversight including the development and administration of Municipal projects. The Project Coordinator will also be responsible for the oversight of the asset management program and supervising one unionized employee.
DUTIES
Project Management:
- Participate in the planning of projects; consulting facility users, designers, and management.
- Liaise with architects, consultants, contractors, municipal authorities to ensure that the interests of the District are reflected in the final product.
- Perform project management and administrative duties to ensure quality control and project implementation is on time and on budget, and support compliance with regulatory approvals and conditions.
- Coordinate contract documentation and administer contracts including informal correspondence, plans and specifications, approval documentation to management, notices of changes, change order recommendations to management, contractual notices and recommend invoices for payment.
- Carry out field reviews of contract progress and ensure general conformance with the contract agreement and prepare progress reports.
- Schedule weekly meetings with the Director of Public Works & Engineering to discuss project progress and any challenges.
- Regularly Inspect and monitor project sites for potential safety hazards.
- Prepare reports and recommendations for Council’s consideration.
- Prepare financial recordkeeping of ongoing projects by preparing and maintaining detailed project cost reports showing commitments, expenditures and available or received funding.
- Assist with researching, writing, and reporting on relevant project grant applications.
- Prepare presentations and reports for Council and attends Council and relevant committee meetings when required.
- Represent the District on municipal committees as assigned.
- Assist with researching, writing, and initiating relevant policies for recommendation to Council.
- Perform other assigned duties as required by the Director of Public Works & Engineering or designate.
Asset Management:
- Supervise the Asset Management Technician position.
- Oversee preventative maintenance scheduling and entry of asset inventory into the asset management program.
SKILLS
- Excellent knowledge of applicable regulations, codes, bylaws and understanding of construction processes.
- Proven verbal and non-verbal communication skills, always maintaining professionalism and discretion.
- Ability to negotiate with consultants and contracts and to resolve conflicts between parties involved in project implementation.
- Ability to organize, prioritize work and effectively manage time in an ever-changing environment.
- Excellent problem solving, analytical skills and attention to detail.
- Ability to read, prepare, translate and understand drawings, specifications and technical information.
- Ability to recognize errors, deficiencies and faulty workmanship of designers and contractors.
- Ability to provide verbal and written technical information and advice to management in matters relating to assigned projects.
- Ability to make timely, cost-effective decisions in a time-critical environment.
- Creative problem-solving and decision-making skills utilizing adaptability and resourcefulness.
- Maintain an effective working relationship with a variety of internal and external contacts.
- Work independently and exercise independence in judgement, managing projects and assignments, and consult with management when needed.
- Efficiently and effectively prepare department and project reports.
- Proficient in Windows based computer software including spreadsheets, project scheduling, and databases.
- Ability to act with tact and discretion around sensitive issues or situations and to maintain strict confidentiality as may be required or appropriate.
QUALIFICATIONS
- Completion of a post-secondary program in Engineering Technology, Civil Engineering, Mechanical Engineering, construction management, or a related field.
- A minimum of 4 years of related experience, or an equivalent combination of education, training, and experience;
- Project Management Professional designation or equivalent is considered an asset;
- Local government experience is preferred;
- Excellent knowledge of project management processes, standards, monitoring and policies;
- Thorough knowledge of current building technology for architectural, mechanical, electrical and structural disciplines;
- Thorough knowledge of materials and methods used in building construction;
- Considerable knowledge of contracting practices, subtrade management and project scheduling;
- Thorough knowledge of public tendering practices, procurement, and asset management;
- Experience in working in a collaborative environment with municipalities, developers, builders, and consultants;
- A valid BC Class 5 Driver’s licence;
- A clean driver’s abstract; and
- A clear police information report (not required at the time of application).
This is a regular full-time exempt position, scheduled to work 40 hours per week with a salary range of $82,241 to $96,667 per annum. The District is committed to diversity, equity and inclusion. We invite all qualified candidates to apply.
